Privacy Policy
This policy explains what we collect, why we collect it, and the choices you have. It covers both account holders and interview participants.
Last updated October 2026
Who we are
Reasonate is a decision intelligence platform. Account holders create projects to understand a decision, assess people or evaluate options; participants take part in short AI-led conversations.
What we collect
- Account data — name, email address, workspace name and role, created when you sign up or accept an invitation.
- Project data — project names, client names, objectives, discussion guides, participant labels entered by the account holder, and background documents uploaded to a project's Project Brain (such as briefs, requirements or job descriptions).
- Interview data — the messages exchanged during a conversation, and, when a participant chooses to speak, the audio of that answer for the moment it takes to turn it into text.
- Technical data — basic log and error information needed to keep the service running and secure.
How we use it
- To run the conversation and produce themes, sentiment and recommendations for the project.
- To generate reports for the account holder who commissioned the listening exercise.
- To secure, support and improve the service.
We do not sell personal data, and we do not use interview content for advertising.
AI processing
Conversations and analysis run through third-party AI models accessed via our provider. Content is sent for processing only, is not used to train those models, and is not retained by them beyond the request.
Anonymity
Before taking part, each participant chooses whether their responses stay anonymous. Anonymous responses are only reported as part of a group once a minimum number of people have responded; individual analysis of an anonymous response is never shown to the account holder. A participant who chooses to be identified agrees that their individual analysis may be shown. Direct quotes may be included where they illustrate a theme; participants can decline to answer any question or stop at any point.
Storage and retention
Data is stored in our managed cloud database with access controls that keep each workspace separate. Interview data is retained for as long as the project exists. Deleting a project deletes its participants, transcripts and reports. Deleting a workspace deletes everything within it.
Your rights
Depending on where you live, you may ask for a copy of your data, correction of it, or its deletion. Account holders can act on most of these from inside the app. For anything else, email hazel@reasonate.app and we will respond within 30 days.
Changes
We will post any material change to this policy on this page and update the date above before it takes effect.
